To ensure you get the most out of your benefits, call member services (number is on the back of your insurance card) and ask them the following questions:

  • Do I have coverage for nutrition consult and/or preventive care for CPT codes 97802 (initial visit) & 97803 (follow up)?
  • What specific diagnosis are covered (ask for ICD-10 codes- obesity, diabetes, high cholesterol, etc. all have different codes)
  • Do I need a physician referral or authorization for insurance to cover my visit for nutritional counseling?
  • Is there a limit on the number of visits allowed?
  • Is there a copay, co-insurance, or deductible to meet?

Schedule your initial visit, either through our website or a phone call. Provide an email address to get access to our free app. A link will be emailed to you, providing all of the necessary documents to be completed prior to the initial session. If you do not have access to a computer, you may fill out the documents during your office visit.

Have your doctor fax recent or previou s lab work, medical history and/or referral/pre-authorization. ( The most common lab testing requested for assessment are the fasting lipid panel, HgbA1c, comprehensive metabolic panel, complete blood count, vitamin D, TSH and T4.)

Virtual Counseling presents an affordable, cost-effective solution to patients. We also offer a viable, inexpensive option for those who do not currently have health insurance or have insurance but do not have benefits for nutrition counseling.

While it is necessary to your overall health and wellbeing to make regular visits with a Registered Dietitian, there are many big benefits why you should consider a virtual nutritional counseling during your next nutritional health visit. A visit that can happen from home!

For Virtual Counseling/ Telehealth: you may purchase home scale, body tape measure & use a Body Fat calculator tool to assess your progress at home. Your Anthropometric measurement will include your height, weight, & hip wastes. A more convenient method of measuring success is how your clothes fit. Use the same clothing when comparing. If your clothes are starting to fit loose, this is a good indicator of body fat loss!

NO SHOW POLICY

Quality Care for our patients is our priority. It is our policy to offer prompt & courteous services to our patients. Our policy helps to improve scheduling opportunities, encourages patients to call, send a secure message via the patient portal or respond via voice, text or email with our automated appointment reminder service to cancel their appointments in a reasonable amount of time which allows for better use of patient, staff and provider time.

Pro Nutrition Counseling defines a no-show appointment as any scheduled appointment in which the patient either:

  • Does not arrive to the appointment
  • Cancels appointment at the time of the visit
  • Arrives more than 25 minutes late and is consequently unable to be seen

Patients can avoid getting NO SHOW charges in the following manner:

  • Confirming your appointment
  • Arriving 10-15 minutes prior to the start of the appointment
  • Giving 24 hours notice to cancel the appointment
  • Responding to the Patient Prompt automated system when they confirm the appointment either via phone, secure text message or email (based on patient preference for notification)

After each no-show, our front office staff will place an outreach call to you so you may reschedule. Messages will be left to call the office if they are unable to talk with you directly.

Appointment Confirmation

Appointment confirmation is handled by automated text or email. You will be contacted at least 1 to 2 days prior to your appointment via email, text or phone call. Please remember that confirmation calls are a courtesy; ultimately it is your responsibility to know your appointment date, time, and location.

Canceling / Rescheduling Appointments

If you need to cancel or change a scheduled visit, we expect you to contact our office no later than 24 hours before the scheduled visit. This allows us to have a reasonable amount of time to determine the most appropriate way to reschedule your care as well as to give us an opportunity to re-book the now vacant appointment slot with another patient.

Fees:

If you fail to cancel the appointment in an appropriate amount of time or you do not show, an appointment fee will be assessed. Late cancelation or no-show fee of $35 may be applied.

Patient Add On

If you need to have an additional family member seen during a visit already scheduled for your other child, please call ahead of time if at all possible. You may be asked to move the appointment to a time where both patients can be more appropriately accommodated. If you can not let us know in advance, please let the front office know at check-in. We will do our best to accommodate the added patient, but this addition may result in an extended wait time for you if the provider attends to those patients with pre-scheduled appointments. Any applicable co-pays, coinsurance, and deductibles will be collected for each additional patient seen that day.
